Where meeting rooms quietly lose money
Booked “just in case”
A room held all afternoon without a deposit and cancelled an hour before. Someone who needed it went elsewhere.
Company clients paid by hand
Every booking by a regular company invoiced separately — and at the end of the month nobody is sure who still owes what.
Reception with access to everything
To take bookings, the receptionist ends up seeing revenue, costs and the owner’s own spending.
What Hourgrid does for meeting rooms and coworkings
Rooms by the hour online
A public page with each room: description, photos and prices. Guests pick free time and send a request; the confirmation arrives by email.
Contract rates for companies
Each company gets its own discount. Its people enter the company code on the booking page, and the contract price applies by itself.
One invoice a month
Companies on invoice terms book without an online deposit. At month end — a printable statement with their details and one “invoice paid” button.
Roles that fit a business centre
Reception books and takes payments, the accountant reads the books, staff see only their shifts. Figures never reach those who should not see them.
Details before the meeting
The guest tells you how many people are coming, what for and what to prepare; the receipt is made out to the right payer.
Bookings in your calendar
An iCal feed of bookings for Google Calendar and the other calendar apps your team already uses.
Questions owners ask
- Can we give a company its own price?
- Yes: a contract discount per company. Its people either enter the company code on the booking page, or reception attaches them to the company once — and every booking gets the discount.
- Do we have to take card payments?
- No. Card deposits are optional, and companies on monthly invoicing book without paying online at all.
- Brokers bring us clients. Can we track their commission?
- Yes. Mark the channel as an intermediary with its rate: what you owe each one for the month is in Money, with a printable statement.
- Can I try it before paying?
- Starter is free for three days, no card needed. Setting up rooms and the booking page takes about ten minutes.
